Lead Activities and Email Tracking in Pulse

How to log activities against a lead, what activity types are available, how email engagement tracking works, and how to spot hot leads who just opened your email.

Activities give context to a lead over time. Email tracking adds a layer of real engagement data on top — you can see whether leads are reading your messages, clicking links, and replying, so your team always knows which leads are actually paying attention.

Logging activities

Open a lead and go to the activity panel to log a new activity. You can choose from these types:

  • Call — a phone call was made or received.
  • Email sent — a manual email was sent outside of sequences.
  • Email received — an inbound email arrived from the lead.
  • Note — a free-text record of context, research, or internal notes.
  • Meeting booked — a meeting was scheduled.
  • Proposal sent — a proposal or quote was delivered. This activity also automatically moves the lead to the Proposal Sent stage if it has not already reached that stage.
  • Proposal revised — a revised proposal was sent.
  • Follow up — a follow-up action was completed.

Each activity records the type, description, timestamp, and the team member who logged it. System events (lead created, status changed, converted, rep reassigned) are also written to the log automatically.

Email engagement tracking

When you send emails to a lead through Pulse outreach or sequences, Pulse tracks opens, link clicks, and replies. The lead card shows a summary:

  • Emails sent — total outreach sent to this lead.
  • Emails opened — unique opens recorded.
  • Last opened — when the lead most recently opened a message.

Hot leads

A lead that opened an email within the last 24 hours is flagged as HOT with a badge on the card. Use the "Hot" filter on the leads list to pull up all active hot leads at once. These are the people worth calling right now — they just showed intent.

Engagement timeline

The full engagement timeline on a lead detail shows every tracked email event in order: emails sent (with subject), opens, link clicks (with URL), and replies (with a preview of the reply). If the lead has been emailed at multiple addresses, the timeline separates events by recipient so you can see which address is most active.

Dashboard email stats

The top of the Leads page shows a collapsible stats bar with summary metrics across your full lead list: total leads emailed, total opened, open rate percentage, click-to-open rate, hot count, pending (sent but not opened), and replied count. Use this to judge how your outreach cadence is performing at a glance.

Frequently asked questions

Does Pulse track email opens automatically?

Yes, for emails sent through Pulse outreach and sequences. Opens are tracked via a read pixel. Manual emails sent outside Pulse (from your own email client) are not tracked automatically.

Can I delete an activity I logged by mistake?

The activity creator and admins can delete manual activities. System-generated events (status changes, conversions) cannot be deleted.
