Payment Statements and Records in Pulse
How to download or email monthly payment statements in Pulse, understand the payment history, and use Reports to review revenue, outstanding items, and payment trends.

Pulse gives you two ways to review and share payment records: monthly statements that summarise paid items for a period, and the Reports page that shows revenue trends, outstanding amounts, and performance over time.
Monthly payment statements
Monthly statements are available from the Payments page. Choose a year and month, then decide whether the statement should cover all payments for your organisation or payments for a specific client.
An organisation-wide statement summarises all paid items across every client for the selected month. A client-scoped statement shows only the payments attributed to that client, making it easier to share a clear record with them.
Downloading a statement
Use the download button to save the statement as a PDF. The file name includes the year, month, and scope so it is easy to identify later. Downloaded statements are ready for filing, accounting uploads, or sharing with stakeholders who need an offline copy.
Emailing a statement
Use the email option to send the statement directly from Pulse. For an organisation-wide statement, enter the recipient email address. For a client-scoped statement, Pulse uses the client's record to direct the email.
Statement emailing may be subject to a monthly usage limit depending on your plan. If a limit is reached, Pulse will let you know and show a payment option to send additional statements for the month.
Payment history in the Payments page
The Payments page History tab shows a full record of paid, cancelled, and refunded items. Use it to confirm when a payment was received, check refund details, or look up a specific client's payment without generating a formal statement.
Revenue reports
The Reports page includes a Revenue tab with charts and metrics for the selected date range. It shows total revenue collected, revenue broken down by month, revenue attributed to individual projects, and outstanding balances that have not yet been paid.
Use the date range filter — last 7 days, 30 days, 90 days, 6 months, last year, or all time — to adjust the scope of the report.
Overview reports
The Reports Overview tab gives a combined view of payment health, project progress, and team activity metrics. For organisations on plans with full analytics, the Reports page also includes Leads, Team, and Clients tabs that connect payment outcomes to the broader business picture.
What statements cover and what they do not
- Statements reflect payments that have been recorded as paid in Pulse — whether through PayFast or recorded manually.
- Draft invoices and pending quotes are not included in statements because they have not yet resulted in a payment.
- Cancelled or refunded items are visible in the Payments History view but may be excluded from statement totals depending on scope.
Frequently asked questions
Can I download a statement for a single client?
Yes. When setting up the statement, choose the client scope and select the client. The downloaded or emailed PDF will only include that client's payments for the selected month.
Where do I find revenue trends over time?
Go to Reports and open the Revenue tab. It shows revenue by month, by project, and outstanding balances for the date range you choose.
