Project Files and Collaborators in Pulse
How to upload and manage project files, leave comments, link external files, and invite collaborators to a project in Pulse.

The Files and Collaborators tabs on a project keep your delivery work and your team in one place. Clients and internal collaborators both get appropriate access without needing separate systems.
Uploading project files
Open the Files tab on a project and drag files into the upload area, or use the file picker. You can upload multiple files at once. Accepted types include PDFs, images (JPEG, PNG, GIF), Office documents (Word, Excel, PowerPoint), ZIP archives, and common video formats (MP4, MOV, AVI). The maximum size per file is 25 MB.
Files are stored privately and accessed through authenticated download links. They are not publicly accessible by URL.
Commenting on files
Both admins and clients can leave comments on individual project files. The file card shows a comment count. Adding a comment notifies the project client so they know feedback or updates have been shared.
Linked external files
The Files tab has a second sub-tab for Linked Files (External). Use this when project assets live in cloud storage, external drives, or other tools. External file links let your team reference those resources without re-uploading large files into Pulse.
Storage limits
Your plan includes a storage quota. If the organisation reaches its storage limit, further file uploads are blocked until storage is cleared or the plan is upgraded. Pulse shows current and limit storage values in the error if this happens.
Inviting collaborators
Open the Collaborators tab and enter an email address or select an existing user to invite them. Collaborators can be internal team members or external contacts who need project visibility without being the primary client.
Invites are valid for 14 days. The invitee receives an email and, if they already have a Pulse account, an in-app notification. When an admin invites an existing user directly, the invite is accepted automatically with no pending step.
What collaborators can do
Collaborators can view the project, milestones, files, and updates. They receive the same notifications as the project client. There is one collaborator role — there is no separate read-only versus editor tier for collaborators.
Notifications for file activity
- When a client uploads a file, all admins receive a notification.
- When an admin uploads a file, the client receives a notification.
- Comments on files trigger a notification to the project client.
Frequently asked questions
Can clients remove files from a project?
No. Clients can upload files and leave comments, but only admins and team members with project management access can remove (archive) files.
Is there a limit to the number of files per project?
There is no per-project file count limit. The constraint is your organisation's total storage quota across all projects.
