Project Quick Links and Payment in Pulse

How the Financials tab connects invoices and quotes to a project, what stays internal versus what clients see, how the Pay Now banner works, and how to use Quick Links.

Projects in Pulse can carry billing context and quick reference links so clients have everything they need in one place — project progress, files, and payment status — without navigating between multiple areas.

Payment links on a project

If a project has a PayFast link attached, a Pay Now banner appears at the top of the project detail page, above the tabs. The client can click it to go directly to payment.

Financials tab

The Financials tab on a project brings together everything money-related for that piece of work: the project's budget (if one is set), and totals for invoiced, paid, outstanding, and quoted amounts, plus the actual invoices and quotes linked to the project. Invoices and quotes are created in the Invoices module and can optionally be linked to a project — linking one keeps the billing record traceable to the work, and it will appear here automatically. Linking is optional: invoices, quotes, and payments all work perfectly well without a project attached.

Job costing

The Financials tab also shows a Costs total and a Margin figure (invoiced amount minus costs). Costs come from expenses linked to the project — when logging an expense in the Expenses module, choose the project from the optional Project field and it is included here automatically. Linking is optional, same as with invoices and quotes.

Costs, Margin, and the expense list behind them are internal figures. They are visible to admins and team members only, and no setting exposes them to a client.

What clients see on Financials

A client opening their own project sees a deliberately reduced version of this tab. Part of that is fixed, and part of it your organisation controls.

Always internal — clients never see these, and no setting can expose them:

  • The Costs total, the Margin figure, and the linked expense list.
  • Draft invoices and quotes. Clients only see a document once it has been sent, and the totals on their screen are calculated from those sent documents alone — a draft never moves the numbers they see.
  • Material usage and material costs from the Inventory module.

Configurable per work type, under Settings → Work Types → Client visibility:

  • Show budget to clients — off by default. Turn it on if you agree budgets openly with your clients; leave it off if the budget is an internal ceiling.
  • Show Financials tab to clients — on by default. Turning it off removes the tab entirely for clients on that work type. They can still see invoices you have sent them under My Invoices.
  • Show activity feed to clients — on by default. Controls the Recent Activity panel on the project Overview.

Because these are set per work type, a type used for internal jobs can be closed down while a client-facing one stays open. Your own admin and team member views are never affected by them.

Payment due calendar events

When a project has a due date, it appears on the calendar as a deadline event automatically, and updates if the due date changes.

Quick Links tab

The Quick Links tab lets you attach important URLs or references directly to the project. This is useful for linking to third-party tools, shared drives, design briefs, external review tools, or client portals that the project team and client should access during the job.

Quick links are visible to everyone with project access — admins, team members, and the project client.

Tickets tab

If your organisation uses the Tickets module, a Tickets tab appears on the project. This shows support or task tickets linked to the project, so delivery work and support work stay connected without jumping between modules.

Frequently asked questions

How do I link an invoice to a project?

When creating or editing an invoice or quote in the Invoices module, choose the project from the project field. It is optional — invoices work fine without a project — but linking one makes it appear on that project's Financials tab.

Can clients click the Pay Now button?

Yes. The Pay Now banner is visible to clients when a PayFast link is attached to the project. Clicking it takes them directly to the payment page.
